Job Description
The Foreign Creditors Controller is responsible for capturing and reconciling foreign creditor invoices, ensuring timely and accurate payments, and resolving discrepancies. They also manage supplier communications, prepare monthly reconciliations, and ensure compliance with internal policies and financial reporting requirements.

- Minimum Grade 12 / Matric.
- Diploma / certification in accountancy.
- Minimum of 2 – 3 years general accounting exposure.
Key Responsibilities:Â
- Verification and Capturing: Verify ‘approved creditors’ invoices from relevant branches and capture them into Pastel Evolution within 2 working days of receipt. Review all invoices for accuracy (ROE, Rand, Currency, and Foreign amounts).
- Reporting and Discrepancy Management: Advise the Team Leader of any discrepancies with the capturing or dumps, and ensure batches are printed and corrections checked.
- Reconciliation: Be responsible for reconciling all Airfreight and Sea Freight supplier accounts monthly by the 25th, regardless of whether a payment is scheduled. Request monthly statements from all suppliers and ensure the reconciliation from statements to Pastel Evolution’s foreign age analysis is complete.
- Query Resolution: Investigate and resolve any queries in a timely manner, ensuring relevant documentation is available for reconciliation.
- Preparation of Schedules: Prepare schedules and reconciliations for allocated creditors monthly, submitting them to the Team Leader for checking before the due date.
- Unallocated Payments: Investigate and resolve any unallocated payments promptly, following up on unpaid supplier invoices twice weekly.
- Compliance and Reporting: Advise the Finance Manager of any non-compliance issues immediately and ensure year-end preparation of GL schedules and reconciliations for auditors is done promptly.
- Payment Processing: Forward the final reconciliation to suppliers for confirmation of payment amount and submit by the 25th of each month before sending to the senior for review. Ensure banking details are valid and relevant invoices and supporting documents are attached for the payment.
- Confirmation and Documentation: Send payment confirmation and reconciliation to suppliers, confirming receipt within 3 working days after payment has been made. Ensure filing is up to date at all times.
- Cultural and HR Accountability: Participate in monthly departmental meetings, quarterly performance discussions, and ensure compliance with all HR policies, practices, and administrative procedures.
