Job Description

As a Freight Controller, you will be responsible for providing exceptional service to clients, ensuring they feel welcomed and well taken care of throughout their business experience. You will assist in the daily management of existing accounts, maintaining strong relationships to foster business retention. Your role will be to ensure that every effort is made to facilitate smooth operations, making the shipping process for clients stress-free and efficient. You will manage costs effectively to enhance company profitability, while overseeing all modes of transport, including but not limited to Sea Freight and Airfreight Imports and Exports.

Job Requirements:

  • Matric
  • 5-10 years’ experience in the Sea/Air/Road Freight Imports and Exports environment
  • Computer Literate – MS Office Suite Knowledge of Excel
  • Proactive and Tenacious

Key Responsibilities:

New order Processing (Forwarding):

  • Best practices including but not limited to appropriate carrier and routing choices.
  • Tracking- internal & external Updates.
  • Creating and following SOP’s & SLA’s.
  • Coordinate with origin agent and arrange bookings.
  • Constant updates to clients.

Shipment Management:

  • Request copy documents from the supplier for pre-clearance (email/phone)
  • Call/ Track shipments online with the Airlines/Ground handling agents/Shipping lines check ETA’s status.
  • Generate draft invoice from CargoWise
  • Generate Clearing Instructions from CargoWise.
  • Liaise with Finance Department for approval (Credit Check)
  • Send approved Clearing Instruction to client for signature(email). POSITION DETAILS

Release of Cargo:

  • Check that all third-party invoices are correct prior to arranging payment.
  • Arrange necessary payments to all third parties.
  • Liaise with Finance Department (Accounts Payable (AP)).
  • Generate a Delivery Instruction (Word Template in CW)
  • Check accuracy of tariffs and details on receiving the Draft Bill of Entry from Clearing Agent.
  • Check accuracy of vessels details, commodity type and weights once the Shipping Instruction has been received from the Shipping Agent.
  • Liaise with Driver to deliver SARS releases to airline and draw cargo.
  • Update client on completion of documents, flight arrival and delivery dates (Phone)
  • Scan and email pre-clearance documents to Consignee (for Exports)

Invoice to Client:

  • Ensure draft invoice has been quality checked.
  • Prepare final Invoice.
  • Send client specific billing packs including invoice (same day as invoice generated)
  • Liaise with Finance Department (AR)
  • For COD clients: Ensure payment is received from the client prior to submitting documentation to Customs.

Completion of Files:

  • Job Management
  • All queries must be resolved before file closure will be permitted.
  • Resource Management:
  • Update relevant fields in CW as they change.
  • Supervise Freight Assistants daily as required.
  • Motivate and encourage staff where required.
  • Check that Freight Assistants’ files are compliant before billing.

Ad Hoc:

  • Regular visits to clients
  • Status reports to be sent out on time and accurately as specified by the client.
  • Minutes of the meeting must be sent out 24 hours after a meeting.
  • Willingness to take on new accounts.
  • Actively involved in passing on leads to the Sales Team
  • Assist Sales in terms of rates and co-operation to secure new business.
  • Willingness to assist fellow staff.
  • Sending estimates o client timeously
  • Arranging costings to clients of required.

Objectives:

  • Make SBU the most successful
  • Invoice to be done and sent with documents to client within 24 hours of cargo release
  • Have great knowledge of the SBU’s existing clints.
  • Show a professional commitment to the efficient operations of the SBU and the achievement of personal objectives and the Company’s objectives.
  • Keep to deadlines for work requested by Line Manager or discuss with Line Manager if this is not going to be possible.
  • Check wit Line Manager if verbal or written instructions are not clear.

Resourced Managed:

  • Supervise Freight Assistants, ensure SOPs are adhered to by both assistant and Controller.
  • Check Freight Assistant’s work in accordance with the SBU operating procedures.
