Job Description

Import Administrator will play a crucial role in overseeing the tracking of incoming imports, ensuring all documentation is filled in correctly and recorded timelessly.  Establishing good relationships with customers and vendors. Updating and maintaining shipment information in our in- house system. The role will include supporting the existing import team with all admin-related matters.

Job Requirements:

  • Matric
  • Experience in Supply Chain Management and steel preferred.
  • Minimum of 5 years of experience in similar role.
  • Solid Communication Skills (written and verbal).
  • Strong admin skills, filing and documentation management.
  • Proven experience in cost estimation, preferably within an import/export or logistics environment.
  • Strong analytical skills with the ability to interpret complex data and make informed decisions.
  • Excellent understanding of international trade regulations, tariffs, and customs procedures.
  • Proficiency in using ERP systems and Microsoft Office Suite.
  • Exceptional attention to detail and organizational skills.

Key Responsibilities:

Inventory management:

  • Coordinate with inventory management to track incoming shipments and update the import master daily.
  • Update the import master when new documentation is received such as Bill of lading dates etc.

Claims Management:

  • Liase with shipping agents, suppliers and all relevant parties with ongoing shipping claims from start to finish.

Documentation Management:

  • Maintain accurate records of all estimates, invoices, and related documentation.
  • Ensure timely submission of documentation to relevant departments for further processing and payment.
  • Keep all import files in order and always organised.
  • Ensure all necessary documentation is prepared and process correctly.
  • Support the existing imports team.

Vendor and Supplier Relations:

  • Communicate effectively with vendors, suppliers, and shipping agents to gather necessary information and to ensure a smooth import process is followed and resolve any issues that may arise.
